The challenge
A consistent onboarding experience depends on many small tasks happening at the right time. Employee information needs to be collected, guidance checked, welcome messages prepared and responsibilities shared across teams.
In the Train Today brief, HR managed these steps manually across different systems. The opportunity was to connect the process, reduce repeated administrative work and make each handoff easier to track.
Choosing what to automate
I focused on a manageable part of preboarding: preparing a welcome email and onboarding task plan, getting HR approval, and coordinating delivery.
The solution uses one AI agent within two n8n workflows. The first prepares the onboarding case for review. The second carries out the approved actions. This separation makes the approval boundary clear and allows each workflow to be maintained independently.
AI handles the writing, using approved onboarding guidance retrieved from Notion. Fixed workflow rules handle validation, task preparation and routing. Keeping the guidance outside the agent’s instructions allows HR to update the source information without rewriting the prompt.
Human review remains central. HR checks the draft and task plan before dispatch, and missing guidance is flagged for clarification instead of being filled in with assumptions.
How it works
1. Collect employee details
An intake form captures the information needed to start the process. The workflow validates the submission and checks for duplicate onboarding records.
2. Prepare the onboarding case
The workflow builds a task plan from predefined templates. The AI agent retrieves the relevant guidance from Notion and uses it to draft a welcome email. The case, draft and proposed tasks are saved for review.
3. Review and approve
HR reviews the prepared information and resolves anything missing or incorrect. Approval is required before the dispatch workflow can proceed.
4. Coordinate delivery
After approval, the second workflow creates onboarding tasks in Notion, notifies the manager through Slack and sends the reviewed welcome email through Gmail. Delivery progress is recorded against the onboarding case.
The workflow coordinates these actions; the responsible people still complete the onboarding tasks.

Results and next steps
The prototype was tested end to end, from intake and HR review through to task creation and message delivery. It demonstrates how separate tools can support one coordinated process while keeping human approval at a clear decision point.
Testing also highlighted the importance of complete source information. When essential first-day details were missing from the guidance, the draft was flagged for clarification before it could proceed.
This is a working course prototype. Time savings and operational impact have not yet been measured, and activities such as preparing equipment or granting account access remain outside its scope.
Future development would focus on stronger monitoring and recovery, testing more onboarding scenarios, and extending the task templates to additional roles and departments.
The main lesson: useful AI automation depends as much on clear responsibilities and reliable handoffs as it does on the model itself.
